Job Title: Accounts and Payroll Manager Location: Remote (PST Timezone) Work Schedule: Monday - Friday, 8 AM to 4 PM PST Job Description: As an Account and Payroll Manager, you will play a crucial role in managing our financial operations and supporting broader business activities. This position is perfect for someone who thrives in a varied role, enjoys problem-solving, and is keen to grow beyond traditional finance and payroll tasks into more diverse operational functions. Initial Responsibilities: Bookkeeping : Manage accounts payable, including entering data, initiating ACHs, creating invoices, and reconciling payments. Maintain and organize W-9 information and approve vendor payment requests. Monitor outstanding customer invoices and coordinate collection efforts. Payroll : Calculate piece-rate wages and contractor payments based on service tickets. Administer payroll processes including verification and entry into QuickBooks. Manage and reconcile timesheets, ensuring accuracy and compliance. Insurance: Keep records of Certificates of Insurance (COIs) and provide them along with W-9s upon request. Target Additional Responsibilities: Customer Service: Manage and distribute customer resources, provide basic support, and handle overflow calls as needed. Prepare quotes for parts-only orders. Sales/Marketing Support: Monitor payment and contract statuses for new projects, and maintain CRM accuracy. Produce marketing materials and reports using Airtable and other data platforms. Qualifications: Proficient in QuickBooks Desktop and Excel (specifically in data analysis and reporting). Demonstrated ability to organize, multitask, and meet deadlines. Excellent communication skills and a proactive approach to problem-solving. Nice-to-Haves: Experience with Airtable and Notion for project management and documentation. A keen interest in expanding into roles that support business operations beyond accounting and payroll.
