Key Responsibilities: Email Management: Manage the CEOs email inbox, filtering, categorizing, and prioritizing emails. Respond to routine queries and ensure important messages are promptly brought to the CEOs attention. Handle all incoming emails and phone calls, sorting and filing emails into proper folders. Use discretion, confidentiality, and good judgment to handle important information. Accountability: Check in with the CEO morning and evening about top priorities, progress, and new tasks. Aim to handle and solve 99% of issues and questions before escalating to the CEO. Identify and address issues or delays, either by finding solutions or becoming the solution. Communication Management: Serve as a liaison between the CEO and other staff, as well as external stakeholders. Facilitate smooth and efficient communication. Legal Document Review: Conduct initial reviews of legal agreements, flagging any areas of concern for further review. AI Utilization: Leverage AI technologies to streamline administrative processes and enhance productivity. Calendar Management: Oversee the CEOs calendar, scheduling appointments, organizing meetings, and ensuring efficient time management. Manage and protect the CEOs schedule, focusing on goals and priority activities. Travel Coordination: Arrange all aspects of business travel, including flight bookings, accommodations, local transportation, and itinerary planning. Research: Conduct research on various topics as requested, providing comprehensive summaries to inform decision-making. Project Management: Coordinate and oversee projects, ensuring they stay on track, within budget, and meet quality expectations. General Administrative Duties: Perform other administrative tasks as needed, including preparing reports, handling confidential information, and assisting with personal tasks. Qualifications: Proven experience as an Executive Assistant, preferably supporting a senior leader. Exceptional organizational skills with a keen attention to detail. Strong commitment to accuracy, completeness, and efficiency. Excellent communication skills, able to interact confidently and professionally with people at all levels. Demonstrated ability to handle sensitive information with discretion and trustworthiness. Ability to prioritize work, think proactively, and adapt to changing needs. Strong business sense with the ability to make sound judgment calls independently. Proficiency with AI technologies and administrative tools.
